Discretion is part of what we offer. This policy sets out, plainly, what information the Estate holds about you, why we hold it and what you may ask us to do with it.

01Who We Are

Green Castle Estates — the Estate — maintains this website and the private members area behind it. This page is maintained by Green Castle Estates and describes our own practices; it is not an independent certification or audit.

02Information We Collect

Membership applications: your name, email address, telephone number and country, together with anything you choose to write in the message field of an application or allocation request.

Account information: the email address and credentials used to create a members account, and the standing of that account (pending, approved or declined).

Allocation requests: the products you express interest in, quantities requested and the status of each request.

Technical information: standard server and hosting logs such as IP address, browser type and pages requested, kept for security and reliability purposes.

We do not knowingly collect information from anyone under 21 years of age. Entry to the site requires age confirmation.

03How We Use It

To review and decide upon membership applications, which are approved manually by The Manager.

To correspond with you about your application, your account standing and any allocation you have requested.

To operate, secure and improve the website and the members area.

To send occasional Estate correspondence where you have asked to receive it. Every such message includes a means of withdrawing.

We do not sell your personal information, and we do not use it for third-party advertising.

04Legal Grounds

Where UK or EU data protection law applies, we rely on your consent for optional correspondence, on the performance of our arrangement with you for membership and allocation handling, and on our legitimate interests in keeping the Estate and its records secure.

05Service Providers

The site is hosted and its database, authentication and email delivery are operated through our infrastructure providers, who process data strictly on our instructions. They may store data in the United States, the United Kingdom or the European Union.

We share personal information with no one else unless required by law or necessary to protect the Estate, its members or the public.

06Cookies

We use only the cookies and local storage entries necessary for the site to function: your age confirmation, and the session token that keeps you signed in to the members area. We do not run third-party advertising or cross-site tracking cookies.

07Retention

Application and account records are retained for as long as your membership stands, and for a reasonable period afterwards to satisfy our record-keeping and legal obligations. Declined applications are retained only as long as needed to administer any reconsideration, then removed.

08Your Rights

Depending on where you live, you may ask us for a copy of the information we hold about you, to correct it, to delete it, to restrict or object to certain uses, or to withdraw consent you have given. California residents may exercise the equivalent rights under state law, including the right not to be discriminated against for doing so.

09Security

Access to member records is restricted by row-level database policies so that a member can reach only their own records, and administrative review is limited to authorised Estate staff. Traffic to the site is encrypted in transit.

No system can be guaranteed impenetrable. If you believe you have found a vulnerability, please write to The Manager rather than disclosing it publicly.

10Changes

We may revise this policy from time to time. The date at the head of this page always reflects the current version, and material changes will be notified to members by email.
